The 'Documents' Section Interface

The 'Documents' section interface is designed like a file manager and consists of several main areas: a navigation sidebar, a central view area, a top toolbar, and a bottom control panel.

Navigation Sidebar

The left sidebar contains navigation to the main document sections. Each section is a separate space with specific access rules and features.

Main Sections

  • My Documents — The user's personal storage for private documents and folders.
  • Workspace — A team space for collaborating on documents within an organization.
  • Shared with me — Documents and folders shared with you by other users.
  • Favorites — Quick access to important documents you've marked from any section.
  • Archive — Storage for outdated documents in read-only mode.
  • Recent — A list of recently opened or modified documents.
  • Trash — Temporary storage for deleted items, which are kept for 30 days.

The active section is visually highlighted. Clicking on a section displays its content in the central area.

Mobile Version

On screens smaller than 768px, the sidebar is hidden and can be accessed through a dropdown menu at the top of the interface.

Top Toolbar

The main tools for working with documents are located at the top of the screen.

Search

The search bar allows you to find documents by title and content. The search works on:

  • File and folder names.
  • Text content within documents.
  • Content of spreadsheets.

Search results appear instantly as you type.

"Create" Button

The "Create" dropdown menu provides access to:

  • Folder — Create a new folder to organize your documents.
  • Template List — Quickly create a document based on catalog templates (certificates, diplomas, etc.).
  • Blank document — Create a new document from scratch.

The menu's content depends on the current section and your access rights. Creation is not available in the "Trash," "Recent," and "Favorites" sections.

Central View Area

The main workspace displays the contents of the current section or open folder.

View Modes

Two document view modes are available:

  • Gallery — A tile-based view with document previews. Convenient for visual navigation and quickly finding a document by its appearance.
  • List — A table-based view with file names and metadata. A compact mode for working with a large number of items.

You can switch between modes using the "View" menu in the bottom panel.

List Items

Each item (document or folder) displays:

  • An icon for the item type or a document preview.
  • The item's name.
  • Special indicators:
  • — A document with shared access.
  • — A favorited document (if the corresponding setting is enabled).

Actions on Items

  • Single-click — Selects an item.
  • Double-click — Opens a document in the editor or enters a folder.
  • Right-click — Opens a context menu with available actions.
  • Ctrl+click or Shift+click — Selects multiple items.

Empty State

If a section or folder is empty, an informational message is displayed with a hint on how to get started in that section.

Bottom Control Panel

At the bottom of the interface (hidden on mobile devices up to 768px), there are tools for navigation and view management.

Breadcrumbs

The navigation path shows your current location in the folder structure. Clicking on any part of the path allows you to quickly navigate to that level.

Example: My Documents > Project Folder > Materials

Sorting

The "Sort" dropdown menu allows you to organize items:

  • By name — Sorts by file/folder name.
  • By date — Sorts by the last modification date.

You can also switch the sorting direction:

  • Ascending — A to Z or oldest to newest.
  • Descending — Z to A or newest to oldest.

View Switcher

The "View" menu controls how items are displayed:

  • Gallery — Tile view with previews.
  • List — Compact table view.

The selected mode is saved for the current user and applied to all sections.

Context Menus

The system uses context menus to provide access to actions for items.

Item Menu

Right-clicking on a document or folder opens a menu with available actions:

  • Open
  • Open in new window
  • Rename
  • Move
  • Copy / Cut
  • Share
  • Add to favorites
  • Download
  • Delete

The set of available actions depends on the item type, the current section, and the user's access rights.

Background Menu

Right-clicking on an empty space opens a menu with actions for the current folder:

  • Create folder
  • Create document
  • Paste (if there are items in the clipboard)
  • Select all

Hotkeys

Keyboard shortcuts are available to speed up your work:

  • Ctrl+O — Open the document selection dialog
  • Ctrl+A — Select all items
  • Ctrl+C — Copy selected items
  • Ctrl+X — Cut selected items
  • Ctrl+V — Paste items from the clipboard
  • F2 — Rename the selected item
  • Del — Delete selected items
  • Ctrl+Enter — Open item in a new tab
Responsive Interface

The interface automatically adapts to the screen size. On mobile devices, the sidebar and the bottom control panel are hidden, and navigation is available through compact menus at the top of the screen.
