Team Access

The system provides advanced options for configuring document access within a team. You can grant view or edit permissions to the entire team, specific departments, or selected employees at once, without inviting each person individually.

Types of Team Access

For documents in the "Workspace" section, there are three levels of group access settings.

Access for the Entire Team

The broadest level of access is granting permissions to all team members simultaneously. When this option is enabled:

  • The document or folder becomes visible to all team members.
  • Everyone receives the same permission level (view or edit).
  • New employees added to the team automatically get access to these documents.

This is useful for team-wide documents such as policies, templates, instructions, and internal announcements.

Access for Departments

If your team has a departmental structure, you can grant access only to specific departments:

  • Select one or more departments from the list.
  • Set a specific permission level for each department.
  • Employees belonging to the selected departments will gain access to the document.

Access for Specific Employees

Inviting individual employees works the same way as for regular users:

  • Select an employee.
  • Choose a permission level.
  • The employee will receive a notification and see the document in their "Shared with me" section.

Configuring Access

To configure team access for a document or folder:

  1. Open the "Workspace" section and find the desired item.
  2. Select the document or folder.
  3. Open the context menu and select "Share" .
  4. In the access settings dialog, choose the desired access type:

For the Entire Team

  • Enable the "Access for the entire team" toggle.
  • Select the permission level: View or Edit.

For Departments

  • In the "Departments" section, select the desired departments from the list.
  • Set a permission level for each department.

For Employees

  • In the "Users" field, select a user.
  • Choose a permission level.

Permission Inheritance in Folders

When you grant access to a folder, all nested items automatically inherit the set permissions:

  • If a folder is shared with a department with edit permissions, all documents and subfolders within it will receive the same permissions.
  • Inheritance works recursively to any nesting depth.
  • The owner can override permissions for individual nested items by setting stricter or more permissive rights for them.

Managing the Access List

The owner of a document or folder can at any time:

  • View the list of all users and departments with access.
  • Change the permission level for individual users or departments.
  • Revoke access for a user, a department, or the entire team.
  • Add new recipients.

Limitations

When setting up team access, keep the following in mind:

  • Only the owner can share — only the owner of a team document can grant access to it.
  • Departmental structure — to use department-based access, a corresponding structure must be set up in the team.
  • Owner cannot be restricted — the team owner or document owner always has "Combo" access, regardless of the settings.
  • External users — access to a document or folder cannot be granted to users who are not members of the team.

Paid Options

Documents located in the "Workspace" section receive the PRO and No Logo options activated for the team. This way, all members of the organization have access to paid features. If a document is moved to a personal section, access to paid features will be revoked.
