Team Documents
The "Team" section is a dedicated workspace for collaborating on documents within your organization. Documents and folders created in this section can easily be shared with employees, departments, or the entire organization.
Purpose of the Section
The team workspace is designed for storing documents related to your organization's or team's activities.
Additionally, paid options like PRO and No Logo, when activated for a team, apply to all documents within this section.
Unlike the "My Documents" section, where files are private by default, documents in the "Team" section are created with team collaboration in mind, allowing you to configure access permissions for the entire team or specific departments.
Accessing the Section
The "Team" section is available to users who:
- Are team founders.
- Have joined a team.
Creating Documents
Creating documents in the "Team" section works the same way as in your personal space:
- Open the "Team" section in the side navigation.
- Click the "Create" button.
- Choose a document type or create a new folder.
By default, newly created documents are only accessible to the person who created them.
Permission Inheritance
Documents and folders created within the team workspace or inside folders in the "Team" section automatically inherit the access permissions of their parent folder.
Organizing Your Structure
For effective team collaboration, we recommend:
- Creating folders for different projects or departments.
- Using clear and descriptive names for documents and folders.
- Setting access permissions at the folder level to avoid configuring each document individually.
Configuring Team Access
The owner of a document or folder in the "Team" section can configure access at different levels:
Access for the Entire Team
You can grant access to all team members at once with a single permission level (view or edit).
Access for Departments
If your team has a departmental structure, you can grant access only to specific departments.
Access for Specific Users
In addition to group access, you can invite specific employees who are part of the team. Documents in the "Team" section cannot be shared with third parties via a public link.
Learn more about configuring team access in the Team Access article.
Ownership Indication
In the "Team" section, every document has an owner—the user who created it or acquired ownership when it was moved. The owner has full control over the document, including:
- Changing access settings.
- Renaming and moving.
- Deleting the document.
Other team members may have limited permissions depending on the access settings granted by the owner.
Moving Between Sections
Documents can be moved between the "My Documents" and "Team" sections:
- From Personal to Team — The document becomes a team document. The team's active No Logo and PRO options will apply to it.
- From Team to Personal — The document becomes private, and team access is revoked.
For security purposes, sharing settings are automatically reset when a document is moved.
Limitations
When working in the "Team" section, keep the following in mind:
- Deletion Rights — Only the document owner can delete items. Deletion is also possible within folders where a user has edit permissions.
- Sharing Rights — Only the document owner can share team documents.
- Visibility — A document located in the "Team" section is not necessarily visible to everyone. Its visibility is determined by the access settings configured by the owner.
