Shared with Me

The "Shared with Me" section is a centralized location that displays all files and folders other users have shared with you. This section is not a storage area; it's a list of shortcuts to documents that are physically located in their owners' personal ("My Documents") or team workspaces.

How Items Appear in This Section

Access to a document or folder is granted in one of two ways, as detailed in the sharing options guide:

  • Direct Invitation: The owner of the document enters the recipient's email address, and the item automatically appears in this section.
  • Access via Link: When you open a special short link to a document, it is also added to your "Shared with Me" list for easy access later.

Access Levels and Permissions

The actions you can perform on a document depend on the permission level granted by the owner. There are two main access levels.

"View" Access

This is the basic, read-only access level. With this permission, you can:

  • Open files and view their content.
  • Navigate the folder structure if you have been granted access to a folder.
  • Download files or folders to your computer.
  • Add the item to your personal "Favorites" section for quick access.

However, any actions that modify the document or its structure (such as editing, renaming, or deleting) are disabled.

"Edit" Access

This level includes all "View" permissions and additionally allows you to modify the content of the shared item:

  • Edit text and other data within the document.
  • Inside a folder: create new documents and subfolders.
  • Inside a folder: rename, move, and delete (to the trash) any nested items.

Even with edit permissions, you cannot rename or delete the parent folder that was shared with you. These actions can only be performed by the owner.

Limitations and Specifics

Working with shared documents has several key differences compared to working in your personal space.

  • No re-sharing: You cannot share a document or folder from the "Shared with Me" section with anyone else. The "Share" option for such items will be disabled.
  • Cannot be moved: Shared items cannot be moved to your personal sections, such as "My Documents" or "Archive". They always remain linked to the owner's workspace.
  • Creation only within folders: You cannot create new folders or documents in the root of the "Shared with Me" section. This can only be done inside a folder to which you have been granted edit access.

How to Remove Yourself from a Shared Item

If you no longer need access to a shared document or folder, you can remove it from your list. To do this:

  1. Select one or more root items in the "Shared with Me" section.
  2. In the context menu (right-click), select "Remove myself".

After confirmation, the item will disappear from your "Shared with Me" list.

Important

This action does not delete the original file or folder. The item remains completely safe in the owner's account. It only revokes your access to it. Access can only be restored if the owner invites you again.
